# Executive Assistant

> Get your Executive Assistant triaging email, drafting replies and briefing you every morning

The **Executive Assistant** looks after your inbox and calendar. It sorts email, drafts replies for your review, checks availability, proposes meeting times and sends you a briefing before your day starts. It asks you before it commits you to anything.

## Before you hire

Connect the accounts your assistant will work in under **Settings > Tools**:

| Tool | Why |
| - | - |
| [Gmail Read](https://docs.spinnable.ai/tools/gmail-read.md) and [Gmail Send](https://docs.spinnable.ai/tools/gmail-send.md), or [Outlook Read](https://docs.spinnable.ai/tools/outlook-read.md) and [Outlook Send](https://docs.spinnable.ai/tools/outlook-send.md) | Triage your inbox and draft replies |
| [Google Calendar](https://docs.spinnable.ai/tools/google-calendar.md) or [Outlook Calendar](https://docs.spinnable.ai/tools/outlook-calendar.md) | Briefings, scheduling and the weekly review |

Then [hire the role](https://docs.spinnable.ai/role-guides/overview.md#how-hiring-a-role-works) and check both tools are turned on in the worker's **Tools** section.

## Skills it starts with

| Skill | What it does | What it asks you at setup |
| - | - | - |
| **Daily Calendar Briefing** | Turns today's calendar into a short briefing | Timezone, format, where to send it, and whether to send it daily |
| **Weekly Calendar Review** | Flags conflicts, back-to-backs and meetings without agendas for the week ahead | Focus-time targets, VIP contacts and your meeting-load limit |
| **Email Inbox Triage** | Sorts unread email into Urgent, Action Needed and FYI | VIP senders, what counts as urgent, archive rules and any custom categories |
| **Email Response Drafting** | Drafts replies in your style and with your signature | Permission to learn from your sent email, and which topics always come to you |

If you've connected both Gmail and Outlook, or both calendars, your assistant asks which one to use.

## Your first week

**1. Day 1: introduce yourself**

Tell your assistant who you are and who matters.

> "I'm the founder of \[COMPANY]. My timezone is \[TIMEZONE]. My most important contacts are \[NAMES AND EMAILS]. I protect my mornings for focus work."

**2. Day 1: triage the inbox**

> "Triage my unread email and tell me what needs me today."

Answer the setup questions. Then correct the result ("newsletters from \[SENDER] are FYI, not Action Needed").

**3. Day 2: draft replies**

> "Draft replies to the Action Needed emails. Don't send anything. I'll review."

Edit a few drafts and tell your assistant what you changed and why.

**4. Day 3: schedule a meeting**

> "Find 30 minutes with \[NAME] next week and propose three times."

**5. Day 4: brief me**

> "Send me tomorrow's briefing at 7:30."

Check the format and tell your assistant what to add or cut.

**6. Day 5: put it on a schedule**

> "Every weekday at 7:30, send me my briefing and a triage of overnight email. Every Friday at 4pm, review next week's calendar."

> [!TIP]
>
> Keep replies in review until the drafts consistently sound like you. Then decide which kinds of email your assistant may answer on its own, for example meeting confirmations.

## Common pitfalls

* **Wrong account.** If your assistant reads the wrong inbox or calendar, check which connection is selected in its **Tools** section.
* **Unknown contacts.** Your assistant can't schedule with someone it can't find. Tell it their email once and it remembers.
* **Setup skipped on a schedule.** A scheduled run can't ask setup questions. Run each skill once in chat first.
