# Project Manager

> Get your Project Manager planning work, processing meeting notes and sending status reports

The **Project Manager** keeps projects on track and people informed. It turns goals into plans with owners and dates, pulls decisions and action items from meeting notes, follows up on missing updates and prepares status reports. It asks you before it makes material changes.

## Before you hire

Connect the tools where your projects live under **Settings > Tools**:

| Tool | Why |
| - | - |
| [Notion](https://docs.spinnable.ai/tools/notion.md) or [Google Docs](https://docs.spinnable.ai/tools/google-docs.md) | Project plans, documentation and reports |
| [Google Sheets](https://docs.spinnable.ai/tools/google-sheets.md) | Trackers and data tables in reports |
| [Gamma](https://docs.spinnable.ai/tools/gamma.md) (optional) | Progress reports as slides |

If your team works in a task tracker such as [Asana](https://docs.spinnable.ai/tools/asana.md), [Jira](https://docs.spinnable.ai/tools/jira.md), [Linear](https://docs.spinnable.ai/tools/linear.md) or [ClickUp](https://docs.spinnable.ai/tools/clickup.md), connect it too and add it in the worker's **Tools** section.

## Skills it starts with

| Skill | What it does | What it asks you at setup |
| - | - | - |
| **Project Planning** | Builds plans with scope, phases, milestones and owners | Your methodology, standard team roles and default phases |
| **Meeting Notes Processing** | Turns notes or transcripts into decisions, action items and open questions | Nothing. Just paste the notes |
| **Progress Report Generation** | Writes executive, team or milestone reports | Stakeholders, how often, key metrics and output format |
| **Project Documentation** | Writes SOPs, briefs, runbooks and decision logs | Naming conventions and any templates you already use |

If you've connected both Notion and Google Docs, your Project Manager asks which one to use.

## Your first week

**1. Day 1: share a live project**

> "Here's our current project: \[GOAL, TEAM, DEADLINE]. Turn it into a project plan in Notion."

Answer the setup questions, then review the plan's phases and owners.

**2. Day 2: process a meeting**

> "Here are the notes from today's sync: \[PASTE NOTES]. Pull out decisions, action items with owners, and open questions."

**3. Day 3: chase updates**

> "Check which tasks have no update this week and draft a short nudge for each owner."

**4. Day 4: first status report**

> "Write this week's status report for \[STAKEHOLDERS]. Lead with risks."

**5. Day 5: put it on a schedule**

> "Every Friday at 3pm, send me the status report draft. Every Monday at 9am, flag anything overdue."

> [!TIP]
>
> Skip the copy-paste: invite your Project Manager to a Zoom, Google Meet or Microsoft Teams meeting as a **note taker**, and it prepares the summary and action items afterwards. See [Workers in Your Meetings](https://docs.spinnable.ai/concepts/communication-channels.md#workers-in-your-meetings).

## Common pitfalls

* **No single source of truth.** Tell your Project Manager where the plan lives and which tracker is the real one.
* **Vague owners.** Use names, not teams, when you assign work. Your Project Manager follows up with people, not departments.
